Job Description and Requirements
The Assistant Manager is responsible to manage the administration function of DPG working towards the objectives of providing quality administrative services and support to the organization, for efficient and smooth operation of the business in line with department objective.
•Provide inputs for the development of policies, procedures, systems, processes and practices and manage the effective implementation of them in order to fulfill the administration requirements of DPG in line with the vision, mission and overall strategy of the company.
•Ensure development of the drivers as per the requirement of the business and responsible for the maintenance of site vehicles, in terms of ensuring availability of right numbers and combination as per needs; periodic servicing ; timely fuelling ; availability for day to day use by employees visiting project development site; and monitoring of operating costs, with the objective of providing adequate resources to the team as well as controlling operating costs and maximizing life of the asset through regular maintenance and repair.
•Responsible for all group mail services coming in and going out of DGP operations and establish efficient and effective tracking system of internal and external mails. Ensure the mail are daily collected and dispatched from mailing room.
•Monitor reception activities and ensure clean and healthy work environment to enable the efficient operation of the department such as the cleaning company, Security Company, document shredding company etc. to monitor service levels and other aspects of the contract.
•Provide inputs for developing the operational budget and monitor the actual expenses VS budgeted cost. If any variance identified provide suggestions for minimizing the variance.
•Manages information technology support services for the department including implantation, installation, maintenance and upgrade of both mainframe and network based applications and tools. Explores opportunities to improve efficiency and productive through user friendly information technology enhancements.
•Prepare reports on all administrative activities and administration staff performance in order to provide information to the Director Administration and Procurement for decision making.
•Ensure compliance of DGP policies and procedures to bring consistency in order to avoid delay and smooth functioning of the administration activities.
•Bachelor’s degree holder.
•4-6 years of experience in the administration field.
• Good communication and presentation skills.
•Excellent command of English.
