Position Overview

The Admin & Liaison Officer is responsible for managing administrative functions for the IRC Jordan offices, including but not limited to Liaison, Registration, Residency, Travel Arrangements, Hotel Bookings, and Governmental Relations. The Admin & Liaison Officer reports directly to the HR & Admin Manager for Jordan.



Specific Responsibilities:

Liaisons & Governmental Relations
•Develop and Maintain strong follow up system with Government Departments and Ministries for IRC applications and documents.
•Submit and follow-up on residency applications, visas, and work permits for IRC staff.
•Develop and regularly update tracking sheet for residencies and visas of IRC staff to make sure they are renewed on a timely base.
•Research, prepare and follow-up on other Jordanian governmental applications and official processes, as necessary.
•Facilitate clearance of goods through Jordan customs.
•Ensure proper registration, insurance and permits related to IRC Jordan facilities, vehicles and property are valid.
•Support and maintain communication with other IRC offices in the region.



Administrative Responsibilities

Responsible to:
•Arrange transportation from/to airport and accommodation for the IRC staff & the visitors.
•Arrange hotel ,flight booking and pre-arrival info’s for the IRC staff & the visitors.
•Be a focal point for all arrangements related to office facility maintenance such as utilities, repair etc.
•Be a focal point for all arrangements related to expatriate staff housing such as real estate agents, lease agreements, maintenance etc.
•Be a focal point for the Social Security Corporation for the National Staff process.



Job Requirements
•University Degree.
•Minimum of 3 years professional experience in Liaison/Administration.
•Good organizational, diplomatic and reporting skills
•INGO experience preferred.
•Fluency in Arabic and English.
•Strong sense of personal integrity.
•Additional qualities: ability to multitask, ability to handle pressure well, ability to improvise, flexibility, cultural and environmental sensitivity.
•Team work skills
