Job Description and Requirements
Major Purpose of the Role:-
To provide a complete administrative and coordination support to the Procurement department including office administration, contract administration, time management, correspondence and vendor prequalification and supplier database.
Key Responsibilities:-
•Provide a complete secretarial and administrative service to the department
•Provide a complete correspondence service, routing correspondence as necessary and drafting replies where appropriate
•Administration of all contracts
•Administration of the pre-qualification and supply database
•Responsible for issuing departmental reports on a monthly basis
•Provide a time management/diary service for the line manager
•Record minutes of internal department meetings
•Book and prepare meeting rooms with necessary supplies and equipment
•Coordination of all business travel requirement for the Head of Department and team including obtaining relevant visas, flight tickets and accommodation
Minimum Qualification:-
Academic degree
Minimum Experience:-
Minimum 3 years of relevant experience. Proven experience in procurement administrative work
Job Specific Skills:-
Excellent English skills
Proven interpersonal and communication skills
Computer literate with detailed practical knowledge of Microsoft Word, Excel and Power Point
Good presentation and report writing skills
