Help AG Middle East

The Office Manager supports the Operations Team of help AG Group with accurate and efficient work and the strength of ensuring a smooth operations. By bringing up own ideas and investing creativity and time the position supports the growth of the companies and helps to improve processes and efficiency. The position will also support various other departments within different duties and aspects.

Experience
Minimum 1-2 of total experience in and a profound background and education. Experience in handling with large companies and in office administration. Valid Qatar Residence/Work visa required with NOC to change employer

Responsibility
• Office Management
o Coordinating Meetings with customers, suppliers and vendors
o Collection and sub mission of documents (tender bonds, bank guarantees, ICT approvals)
o Coordinate cheque collection (inbound/outbound)
o Manage customer CRM / contacts database
o Maintaining supplies of stationery and equipment, coordinating office maintenance
• Logistics
o Responsibility for all deliveries to customers, Following up incoming and outgoing
o Responsibility for internal tracking of stock / spare and inventory
o Handling all customs duty and related transactions
o Coordination of all company internal shipments / transportation
• BDM Coordination:
o Company Registration with customers
o Request quotations from suppliers
o Receive and check Purchase Orders
o Responding to phone and Email enquiries
o Support in communication / collection of information for vendors, business-partners and customers
o Supporting customer events (booking, invitations, coordination onsite)
